Be sure to become familiar with this information, as you will be agreeing to the terms and conditions listed below when you register.

Liability Release

You hereby give your approval for your child’s participation in any and all activities prepared by Flips & Friends. In exchange for the acceptance of said child’s candidacy by Flips & Friends, you assume all risk and hazards incidental to the conduct of the activities, and release, absolve and hold Flips & Friends harmless, and all its respective staff, agents, and representatives from any and all liability for injuries to said child arising out of traveling to, participating in, or returning from the selected session. In case of injury to said child, you hereby waive all claims against Flips & Friends, including all coaches and affiliates, all participants, sponsoring agencies, advertisers, and, if applicable, owners and lessors of premises used to conduct the event. There is a risk of being injured that is inherent in all sports activities. Some of these injuries include, but are not limited to, the risk of fractures, paralysis, or even death.

You hereby authorize the diagnosis and treatment by a qualified and licensed medical professional, of the minor child, in the event of a medical emergency, which in the opinion of the attending medical professional, requires immediate attention to prevent further further endangerment of the minor’s life, physical disfigurement, physical impairment, or other undue pain, suffering or discomfort, if delayed. Permission is hereby granted to call 911, which may include transportation via ambulance to the nearest medical facility, and you understand that in the event of an emergency, every attempt to reach you will be made but will not impede the contact of said medical professional in your absence. 

Communications

Please read all the information shared with you via email newsletters, as all necessary information, closure dates, and inclement weather updates are available there. Please feel free to discuss any comments, questions or concerns with the studio manager on site or email us. Please do not go directly to your child’s teacher as they will redirect you to the proper staff member. Leave us a message on our voicemail, e-mail or WhatsApp Business number and we will get back to you promptly within our business hours. 

Discipline

Gymnastics requires discipline; therefore, students are expected to be on their best behavior (age appropriate). This is critical to the learning process. If a student becomes disruptive to the class, they will be asked to sit and observe the class for the remainder of that exercise. If the behavior continues, the student may be asked to leave to allow other students to have the ability to learn and receive proper attention from the instructors in a positive environment, free of disruption. 

Level Placement and Trial Policy

At Flips & Friends, student safety and appropriate skill progression are our top priorities. For this reason, students are not permitted to try different class levels until they have been formally assessed by our Head Coach and Founder, Daniela. Our coaching team is not authorized to make level placement changes until the assessment has been completed and approved. This ensures each child is placed in the class that best suits their current abilities and supports their continued growth. 

Classes and Make-Ups

Monthly tuition is based on an average of 4 weekly classes per month. Upon registration, you are prompted to select the class your child will be attending - same class weekly for consistency - or classes if they'll be attending twice a week. 

 

If you know your child will be absent, you must cancel online up to 1 hour before class, or notify us to be eligible for a make-up. If a child does not show up to their scheduled class, and we don't receive a formal notification via email, text or call at least 1 hour before class start time, they will be marked as no-show, and will not be eligible for a make up.

Class make ups are not guaranteed and it is the parents responsibility to make sure their child is attending to their regularly scheduled classes every month/billing period, or to notify us timely with changes. That being said, we may grant make ups for sickness/injury -- with a doctor's note --, and for emergencies.

If you plan to be absent for 2 or more consecutive classes, please email us to find alternate session availability within your current cycle. ​
In the case that make ups are approved, they must be redeemed within the same billing cycle, and will not roll over to the next period.

Federal Holidays and Closures

Please note that our studios will be closed on all U.S. Federal Holidays, and make-up sessions are not available for these dates. We encourage you to enjoy these holidays with your family!

If a class is cancelled due to a studio conflict or implement weather, a make-up session will be added to the schedule for the students affected, and these will be notified via email.

Refund and Cancellation Policy

Once your membership starts, we do not offer refunds for any payments already processed. You will still have access to your membership and classes until the end of the period you paid for. Exception is ongoing sickness and relocation - upon demonstrating proof - and must be requested prior to the membership renewal date.

All memberships clearly state renewal prior to purchase, in the packages tab, and again on the checkout/payment page. Members receive notifications upon purchasing a membership, as well as close to cancellation/renewal. Once a membership renews, or a package or First Time Drop In expires, we do not offer refunds or credit. All Monthly memberships auto renew every month until cancellation or pause. You can request to pause via email for travel, or for prolonged sickness/injury with a doctor's note.

In the case that an extension is granted, it is a one time event, and will not be granted again for the same membership, package, or drop in deal. 

In the case that a refund is granted for any reason, we will process a full refund minus processing fee, which is automatically charged by Wix, our website engine. 

Camp Bookings

Campers must be at least 4 years old on the first day of camp. No exceptions.
 

Camp cancellations made 14 or more days prior to the camp start date are eligible for a full refund, minus a processing fee charged by our website platform. Cancellations made fewer than 14 days before the camp start date will receive a 50% refund. We do not issue refunds for camps that have already begun. Any email cancellation requests must be submitted before 8:00 AM on the first day of camp.
 

You may request that your camp credit be transferred to a sibling, relative, or friend.

Refunds are not available for missed days of camp due to illness, travel, or other personal reasons. Any accommodations for missed days are courtesy-based and made solely at the discretion of Flips & Friends staff.

 

While we strive to accommodate all children to the best of our ability, please note that Flips & Friends does not currently offer specialized programming or staffing for children with special needs.

Birthday parties include a $150 non-refundable deposit required to reserve the party date and time, and is part of your final invoice. Your deposit may be paid through the invoice link. Cancellations must be made 72 hours in advance in order to reschedule and not forfeit the non-refundable deposit. NO PERSONAL CHECKS WILL BE ACCEPTED. If you pay for the full balance of the party in advance and due to unplanned circumstances, you need to cancel your reservation you will receive a refund less the $150 non-refundable deposit required at the time of your reservation if you notify us within 72 hours of the party.

For Private events,  Half of the total price would be needed upfront as a non-refundable deposit, and the remaining balance would be due upon our coach's arrival at location for first session. Cancellations must be made 72 hours in advance in order to reschedule and not forfeit the non-refundable deposit. NO PERSONAL CHECKS WILL BE ACCEPTED. If you pay for the full balance of the event in advance and due to unplanned circumstances, you need to cancel your reservation, you will receive a refund less the non-refundable deposit required at the time of your reservation if you notify us within 72 hours of the event. Once you pay the non-refundable deposit, you are agreeing to these terms.

Late Pick Up Policy

Please know the time your child's class ends and try to be at the studio ready for pick up at that time. We have a 10 minute grace period from each class end time. For example, if your child's class ends at 2:50, you have until 3:00 to pick them up. After the grace period, each minute late will equate to $1 charged. Total amount for late fee will be invoiced and payment expected prior to the child attending any other classes, activities, or events prepared by Flips & Friends.

This policy applies for all classes, including CGES After School Program.
